How to Make Professional PowerPoint Presentations (With PPT Templates) + Video

Every setup differs, and we will cover two of the most popular arrangements. First, you’ll learn how to use PowerPoint’s share screen features in a window. Then, we’ll tackle full-screen shares with Zoom PowerPoint presenter view.

In this tutorial, you’ll see screenshots using the Cubix Professional PowerPoint template. This polished template is ideal for a Zoom meeting and contains all the essentials you need for a professional presentation.

Configuring for Successful Zoom PowerPoint Presentations

Regardless of how you want to share your screen, there are a few Zoom settings you’ll want to configure. There’s nothing worse than wasting time at the start of your meeting changing settings.

Let’s get started:

Open both Zoom and PowerPoint. You’ll need both apps running to share your presentation on Zoom.

Now, let’s walk through a few Zoom settings to ensure your PowerPoint screen share works perfectly. Click on the Settings icon (gear icon) on the Zoom screen.

If you plan to use your webcam, start on the Video section. Ensure that your webcam is functioning and selected. Especially with an external webcam, checking this is essential. While you don’t have to turn it on for every call, it helps to know your hardware is working.

Next, switch to the Audio pane. For the best results, I recommend using a source other than your built-in microphone and speakers. Even Bluetooth earbuds or a headset will typically provide better sound quality than integrated hardware.

An important step in presenting PowerPoint on Zoom is to check your speakers and microphone. Set your speakers and microphone using the drop-down options, then click on Test Speaker and Test Mic to confirm. This will ensure a more professional Zoom presentation.

Let’s learn how to share PowerPoint on Zoom in a single screen setup. This setup works if you’re using a laptop and prefer running PowerPoint in a window or full screen.

To share PowerPoint on Zoom, start a Zoom meeting (or join one that’s already in progress). Then, click Share Screen at the bottom of the window.

This next screen shows all the windows you have open on your computer. Notice that you have two options to show your PowerPoint window. You could show the entire screen using the Desktop 1 option, but it’s best to select the PowerPoint window instead.

In the screenshot above, I’ve selected the Microsoft PowerPoint window. The advantage of this approach is that even if you drag your PowerPoint window around, it’ll remain the focus of the presentation. Sharing only your PowerPoint window also avoids sharing unnecessary or confidential information on your screen.

Now, your screen share is live, and your audience can see it in real-time. Start the presentation on the Slide Show tab to kick off your Zoom presentation.

One of PowerPoint’s most powerful features is Presenter View, which is ideal for multi-monitor setups. This feature lets you view your notes and slide previews on one screen while your audience sees the presentation on another.

Use Zoom meetings and Presenter View in tandem to keep your notes and cues in view so that you can present confidently.

Presenter View operates full screen on both displays, so you’ll want to start sharing in Zoom before activating it. Go back to the Share Screen option in Zoom and choose Desktop 1 or Desktop 2, depending on which screen you want to share.

In PowerPoint for macOS, initiate Presenter View from the Slide Show > Presenter View option. On Windows, ensure the Use Presenter View box is checked on the Slide Show tab, then start your presentation.

Once your presentation starts, you may need to Swap Displays to ensure you’re showing the presentation screen and not the notes view. Click Swap Displays at the top of the notes view to switch the screen you’re sharing.

Using Presenter View in PowerPoint on Zoom allows for a more organized presentation. You have access to your speaking prompts and can view upcoming slides.

Designing Slides for Great Zoom Presentations in PowerPoint

To lead a successful Zoom webinar PowerPoint, focus on great slide designs. The same principles that apply to professional presentations also apply to Zoom PowerPoint presentations.

Update the text: Simplify the headline and supporting points to align with your content.
Simplify the takeaway: Make the main point clear and decisive to maintain your audience’s attention.

The Agenda Slide

Want to get straight to the point in your Zoom video presentation? Share the agenda upfront! This helps your audience understand the flow of your presentation, saving everyone time.

Slide 425 can serve as your agenda slide. Customize it with:

Update the slide title: Clearly indicate that this slide shows your Zoom webinar PowerPoint agenda.
Use your branding: Modify shapes and colors to match your brand.
Update the text: Outline key points on the timeline to highlight milestones in your presentation.

The Device Slide

Slide 66 already has a smartphone image that works well for a Zoom video presentation. Update it by:

Adding a device image: Insert a screenshot of your app by right-clicking on the placeholder and selecting Format Background.
Simplifying the text: Remove unnecessary text; keep the focus on key information.
Typing over placeholders: Use the correctly formatted text boxes for your content.

Title Slide

The title slide is important as it gives your audience a preview of your presentation. Include details such as:

Topic
Company name
Logo
Presenter name
Presenter job title
Presentation date

Slide one is suitable for a title slide. Customize it by:

Replacing the title: Highlight the placeholder text and enter your title.
Adding your logo: Use the Insert tab to incorporate your logo.
Adding your name, job title, and date: Create a new text box using the Insert tab.

Team Slide

The team slide typically follows the title slide, showcasing team members who contributed to the project. Include:

Each team member’s headshot
Team member’s name
Team member’s title
Their role in the project

Slide 49 is a good option for a team slide. If you have more than three members, consider slides 46, 47, 48, and 50. Customize by:

Adding team member pictures: Right-click on the image placeholder to insert images.
Adding titles and descriptions: Update the placeholder text with team information.
Changing the graph: Adjust the percentages in the graph manually by dragging the green handles.

Q&A Slide

If your presentation covers a complex subject, consider adding a Q&A slide. This allows you to address audience questions and recap your presentation. Slide 511 can serve this purpose. Customize by:

Deleting the placeholder text: Clear any default text on the slide.
Adding a textbox: Insert a textbox in the center of the screen for your content.
Increasing the text size: Adjust the font size using the Home tab toolbar.
