This tutorial will guide you step by step on how to print your PowerPoint presentations to have a physical copy of the entire document or just a few selected slides.
PowerPoint features an easy-to-use printing panel with various options that can be tailored to your preferences. Let’s explore how to use it effectively:
Printing Your Presentation
To begin printing your presentation, follow these simple steps:
- Open your presentation in PowerPoint.
- Click on File, then select Print.
- Click the Printer drop-down arrow to choose a printer from the list.
- If no printer appears on the list, you will need to add one by following these steps:
- For Windows 10: Click Start → Settings → Devices → Printers and scanners.
- For Windows 7 or 8: Go to the Control Panel, click Hardware and Sound → Add printer → Add network, wireless or Bluetooth printer → Next.
- If you can’t find the device, ensure your computer is connected to the printer via a network (cable or wireless). Refer to the printer manual for more details on connecting the equipment.
Selecting Which Slides to Print
You have multiple options for selecting slides to print:
- Open your presentation in PowerPoint.
- Click on File, then select Print.
- In the Settings section, you will find different options:
- To print all the slides:
- Select Print All Slides.
- To print specific slides:
- Choose Print Selection.
- To print only the slide currently displayed on your screen:
- Select Print Current Slide.
- To print all the slides:
- To print a specific range of slides:
- Choose Custom Range and specify the slide numbers.
- Click the Print button to start printing.
Printing Hidden Slides
If your presentation contains hidden slides that you wish to print, follow these steps:
- Open your presentation in PowerPoint.
- Click on File, then select Print.
- In the Settings section, choose the option according to the number of slides and enable Print Hidden Slides.
- Finally, click the Print button at the top to complete the printing.
Printing with Notes
To include your speaker notes while printing, do the following:
- Open your presentation in PowerPoint.
- Click on File, then select Print.
- In the Settings, select Notes Pages.
- Enter the number of copies you need and click the Print button at the top of the window.
Printing as an Outline
You can print your presentation as a schematic overview:
- Open your presentation in PowerPoint.
- Click on File, then select Print.
- In the Settings, choose Outline. This will print your presentation as an outline.
- Click the Print button to finalize your printing.
Printing Two or More Slides per Page
If you want to print multiple slides on a single page, follow these steps:
- Open your presentation in PowerPoint.
- Click on File, then select Print.
- In the Settings, under Full Page Slides, select the number of slides you want per page (2, 4, 6, etc.) and choose whether to print horizontally or vertically, with or without notes.
- Enter the number of copies and click the Print button.
Printing on Both Sides
To conserve paper, you may want to print on both sides:
- Open your presentation in PowerPoint.
- Click on File, then select Print.
- In the Settings, select from the following options:
- To print each slide on a separate page:
- Choose Print One Sided.
- To print two slides per page, one on each side of the paper:
- Select Print on Both Sides.
- To print each slide on a separate page:
- Click the Print button to start printing.
Printing in Black and White
For printing in black and white, follow these steps:
- Open your PowerPoint presentation.
- Click on File, then select Print.
- In the Settings, choose whether to print in color or black and white. Click the icon at the bottom right to select among the options:
- To print in color:
- Choose Color.
- To print in grayscale:
- Select Grayscale.
- To print in pure black and white (without grayscale):
- Choose Pure Black and White.
- To print in color:
- If you need multiple copies, enter the number of copies and click the Print button.
